Executive Assistant Responsibilities

  • Act as the point of contact among leadership, key staff, and external partners of AIRT and DRONERESPONDERS.

  • Manage the flow and information in a timely and accurate manner.

  • Manage calendars, coordinate meetings, and serve in the capacity of assistant executive director if/when required.

Job Brief

AIRT is seeking an experienced, part-time/full-time Executive Assistant responsible for actively supporting the Executive Director and other senior-level directors with a variety of administrative tasks.


The Executive Assistant reports to the Executive Director and works closely with the Chairman and board members to ensure the timely and accurate flow of information.

The ideal candidate will be well-organized, have exceptional time management skills, and be able to act effectively in a virtual, team-based environment with little guidance. Knowledge and a passion for the unmanned systems, aviation or disaster response sectors a strong plus, as is verbal and written Spanish-language proficiency.

The goal of the Executive Assistant is to ensure streamlined non-profit organizational operations by providing personalized and timely support to AIRT leadership.


  • Act as the point of contact among leadership, key staff, and other external partners

  • Manage information flow in a timely and accurate manner

  • Manage executives’ calendars and set up meetings

  • Make travel and accommodation arrangements

  • Rack daily expenses and prepare weekly, monthly or quarterly reports

  • Oversee the performance of other staff

  • Act as an office manager by keeping up with office supply inventory

  • Format information for internal and external communication – memos, emails, presentations, reports

  • Take minutes during meetings

  • Screen and direct phone calls and distribute correspondence

  • Organize and maintain the office filing system


Training, Skills, Knowledge and Experience Requirements

  • Work experience as an Executive Assistant, Personal Assistant or similar role

  • Excellent MS Office knowledge

  • Outstanding organizational and time management skills

  • Familiarity with office software and applications

  • Excellent verbal and written communications skills

  • Proficiency working in a virtual environment

  • Discretion and confidentiality

  • Strong attention to detail

  • Act with a high level of professionalism

  • High School degree

  • PA diploma or certification is a plus
